How should universities and research firms choose?
For a university study, begin with the approved protocol, consent process, participant accessibility, and an analysis trail that another researcher can inspect. For a research firm, add recruitment accountability, client-separated access, repeatable reporting, and deliverable ownership. Pilot the same guide and a small consented sample on shortlisted tools. Record unexpected probes, missing context, transcription corrections, and the time needed to review findings. Do not award a methodological advantage based on a founder’s affiliation or a marketing label.
What does a completed study cost?
Compare total study cost: subscription or project fee + usage + recruitment + incentives + researcher review time + any required export or support charges. Specify sample size, interview duration, failed-session treatment, billing period, taxes, and cancellation terms. For example, scope 20 completed interviews of 15 minutes, then request that same scope from every vendor. Leave unknown costs blank until confirmed. What should you ask about research data?
Ask where recordings, transcripts, backups, and model processing occur; who the subprocessors are; how access, retention, deletion, and withdrawal work; and whether research data may train models. Obtain the relevant contractual terms before sensitive fieldwork. These are procurement questions, not a legal-compliance assessment. European headquarters or a certification badge alone does not answer them. Apply the same scrutiny to QualiTaTi and every alternative.
When should a human lead the interview?
Use human-led interviewing when the protocol needs relational trust, sensitive disclosures, complex contextual judgment, or support that automation cannot reliably provide.
